Plans and billing

How Phishtime plans are priced, how to subscribe and change plans, and how billing, discounts, cancellation, and payment problems work through Stripe.

Plans

Phishtime has four plans. Hello World is free and permanent, enough to run a first campaign for a small group. Starter, Pro, and Enterprise are paid. They raise the limits and unlock more capabilities.

Open Upgrade from the admin menu to compare all four: the employee cap, campaigns per 30 days, fair-use email volume, and which capabilities each unlocks, such as custom sending domains, the public API, advanced lures, drip campaigns, SSO, directory sync, and SOC mailbox ingest.

Every paid plan starts at 25 seats. Below that, Hello World already covers you for free. Starter and Pro each have an upper seat limit; Enterprise does not. Past the self-serve limit, the Upgrade page shows a Contact sales prompt instead of a price.

Free trial

On the Hello World card, Start free trial turns on the paid capabilities for 30 days. It can be used once. When it ends, the workspace returns to Hello World limits, and every admin is emailed a few days before. Subscribing to a paid plan at any point ends the trial.

How pricing works

Paid plans are priced per seat on a graduated scale: the more seats you buy, the lower the per-seat rate in the higher bands. The figure on the Upgrade page is the real monthly total for the plan and seat count you selected. Move the seat slider and it recalculates. A seat is one active (non-archived) employee, and your seat count must be at least your current active-employee count.

Billing is monthly. Prices are shown and charged in euros.

Starting a paid plan

From Upgrade, choose a plan, set the seat count, and confirm. You are taken to Stripe's hosted Checkout page to enter card details and place the order. When Stripe confirms the payment, Phishtime activates the plan, usually within a few seconds. The confirmation screen waits for that. If you close the tab, the plan still activates once Stripe confirms.

The first invoice is charged at checkout. After that, the subscription renews on the same day each month.

Upgrading and adding seats

Once you have a subscription, moving up to a higher plan happens in the app; there is no second trip to Checkout. When you switch, Stripe credits the unused part of the current month against the new plan and charges only the difference, billed immediately. Your monthly renewal date does not move. A confirmation screen shows once the switch is live.

If you reach your seat cap, for example when adding an employee, importing a CSV, or running a directory sync, you are offered a seat top-up. It raises the seat count on your current plan, prorated and charged immediately, and the new seats are usable at once. A top-up only ever adds seats.

An upgrade or top-up is refused while an invoice on the account is unpaid. Clear it first from Manage billing (below).

Discounts and promotions

When a promotion or an individually agreed discount applies to your workspace, the Upgrade page shows it: the standard price struck through, the discounted price beside it, and a note on how long it lasts. Checkout shows the same discount before you pay.

A discount is either ongoing (applied every month while you stay on that plan) or time-limited (applied to your first few monthly invoices, then the subscription renews at the standard rate). The note beside the price says which.

A plan switch counts as a new purchase, so it re-prices at whatever offer is available then. A time-limited introductory discount does not carry across a plan change. Individually negotiated discounts are arranged with our team; contact support if you are pricing a larger rollout.

Downgrading

Moving to a cheaper plan or a lower seat count is not self-serve. To move down, cancel the current subscription (below). It stays active until the end of the period you have paid for, then the workspace returns to Hello World, and you can subscribe again to the smaller plan. This keeps billing moving in one direction and avoids a credit balance on the account. To lower only your seat count, contact support.

Managing billing

Manage billing on the Company overview page (the i button next to your company name in the sidebar) opens Stripe's customer portal, where you can:

  • update the card on file;
  • update the billing email, company name, address, and VAT or tax ID that appear on invoices;
  • download past invoices and receipts.

Plan changes are not offered in the portal. Upgrades go through the in-app flow so the proration and the upgrade-only rule stay in one place. Stripe emails invoices and receipts to the billing email on the customer record.

Cancelling and resuming

On the Company overview page, Cancel plan first shows what will happen: the date the plan stays active until, that there is no refund for the unused days, and that resuming is free. It then hands off to Stripe's portal to confirm. Cancellation takes effect at the end of the current paid period. You keep the plan and every capability until then, with no further charge. When the period ends, the workspace drops to Hello World, and your data, campaigns, and history are all kept.

Changed your mind before the period ends? Resume on the Company overview page calls off the cancellation. Nothing is charged, because that period is already paid for. Once the period has lapsed, the subscription is gone, and starting again is an ordinary new purchase.

If a payment fails

If a renewal charge is declined, the subscription is marked past due and a grace window opens. You do not lose access straight away:

  • Stripe retries the charge over the following days.
  • You are emailed when the payment first fails, again after about two days if it is still unresolved, and with a final notice at about five days.
  • If it is still unpaid at the end of the grace window, the subscription ends and the workspace returns to Hello World. Everything is kept; re-subscribe once the payment method is fixed.

To recover, open Manage billing and update the card. The next successful charge clears the past-due state and restores the plan. A few days before each renewal you also get a reminder that the card is about to be charged.
